What you may want to know before commissioning a programme
Clear responsibilities, a transparent process and a clearly defined scope provide the basis for effective collaboration.
What information do you need for an initial assessment?
For an initial assessment, I need information about the reason for the initiative, the target group, the intended change, the number of participants, the proposed timeframe, the location and any relevant organisational parameters.
You do not need to provide a fully developed training concept. In the initial consultation, we clarify what information is already available and whether anything else needs to be explored.
Do you require several contacts within our organisation?
I generally work with one central contact throughout the engagement. This person consolidates the relevant information, coordinates internal feedback and ensures that necessary decisions are made in good time.
If additional perspectives are required during the scoping phase, selected interviews or stakeholder discussions can be arranged. Overall coordination remains with the central contact.
What happens between the initial consultation and the proposal?
During the initial consultation, we clarify the reason for the initiative, the target group, the intended outcomes and the organisational framework. I then assess whether the available information is sufficient for a sound recommendation and quotation.
If the requirements are sufficiently clear, you receive a proposal for the programme. If a more detailed analysis is needed first, you receive a separate proposal for that phase. The findings then inform the recommendation and quotation for the main programme.
When is a more detailed analysis useful?
A more detailed analysis can be useful when different expectations need to be aligned, complex causes need to be understood or robust development objectives need to be defined.
Possible approaches include structured interviews, stakeholder discussions, facilitated scoping sessions or a review of existing documents. The scope, deliverables and fee are agreed in advance.
What is included in the daily rate?
One training day comprises up to 6.5 training hours of 60 minutes each. Breaks do not count as training time.
Unless otherwise specified in the proposal, the agreed delivery fee also includes:
- the agreed preparation,
- a pre-training questionnaire for participants,
- the opportunity for participants to contact me directly before the training,
- a tailored participant handout in PDF format,
- a photographic record of the flipcharts produced,
- agreed supplementary information and materials following the training.
How are participants involved before the training?
Before the training, participants receive a short questionnaire from me covering their prior knowledge, expectations and specific concerns. They are also invited to contact me directly with individual questions or particular requests.
Their responses help me fine-tune the training and establish a constructive and trusting working relationship at an early stage.
How do you handle confidential feedback?
Personal information and individual concerns shared by participants are treated confidentially and are not passed on to the client in an identifiable form.
If feedback to HR or other responsible stakeholders has been agreed, it is provided at an overarching level and in a form that does not allow individual participants to be identified.
Which services are charged separately?
Additional services are agreed in advance and itemised transparently in the proposal. These may include:
- detailed needs or context analyses,
- stakeholder discussions and internal interviews,
- additional scoping and design meetings,
- written reports,
- transfer and follow-up sessions,
- individual coaching,
- additional training time.
Travel time, transport, accommodation and necessary incidental expenses are calculated for the specific engagement and shown in the proposal.
